How to prepare for hotel check-in during a treatment trip

Check your booking confirmation

Before you travel, verify the hotel's name, full address and booked dates. Make sure the guest's name matches the identification document you will use. If you've booked several rooms, confirm which guests are assigned to each room and whether an accompanying person is included. Keep your reservation number handy, but avoid sending unnecessary personal information to third parties. Record how your booking was confirmed. A hotel's promotional listing is not proof that your particular reservation has been confirmed.

Arrange check-in outside normal hours

If you expect to arrive late, ask the hotel to confirm its late-arrival procedure and the best contact method. Check whether you need to notify the hotel separately and whether you should expect a reply. Do not rely solely on general booking-platform information if your specific reservation may differ. Confirm the arrangements for every room and guest. Keep a copy of the final confirmation available offline, and do not send unsolicited copies of your ID through insecure messaging channels. A quick written check before departure can prevent misunderstandings.

International flights may arrive outside normal check-in hours. Ask about the earliest time your room will actually be available and how late arrivals are handled. If reception is not staffed around the clock, get clear instructions for collecting your key. Inform the hotel promptly if your arrival time changes and request confirmation. Also check whether your reservation will be held if you arrive late. Keeping a written record can reduce confusion at reception.

Coordinate the hotel and airport transfer

Check that the hotel address and entrance match the details given to your transfer provider. Large buildings may have separate entrances for guests, deliveries or accessible access. If necessary, agree on a specific drop-off point and clarify how your luggage will reach reception. A map pin alone may not identify the right entrance. If your journey includes an overnight stop, confirm whether the driver is going to the first hotel or your final destination. Keep the confirmed destination with your transfer booking.

Confirm your room requirements

Requests such as a quiet room or a room near the lift are not necessarily included in your booking. Describe important requirements clearly so the hotel can confirm them or offer an alternative. Examples include step-free access, accessible shower facilities, bed arrangements and accommodation for an accompanying person. Do not rely only on an icon in a booking summary. Ask for written confirmation of any important facilities. Choose accommodation based on your practical needs without assuming that it is medically suitable.

Separate included costs from extras

Distinguish services you've already paid for from amounts due at the hotel. These might include local taxes, extra nights, breakfast, parking or a security deposit. Check whether each charge is per room, person or night. Request an itemised explanation if a package price covers several services. A payment card held on file does not mean everything has been paid for. Keep receipts and compare them with the charges agreed before your trip.

Know whom to contact if something differs

If reception cannot find your reservation or offers a different room, it helps to have a clear escalation contact. Keep your booking number, the agent's name and the hotel's official contact details available. Explain the discrepancy clearly and request a specific solution and written confirmation. Share identity documents only through appropriate, verified channels. Record the time and outcome of the conversation so everyone involved has the same information. Agree who is responsible before several people make conflicting changes.

Keep check-in documents together

Prepare a short checklist with the hotel name, address, booking number, dates of stay, room assignments, confirmed special requirements and contact details. Save the booking confirmation offline in case mobile data is unavailable on arrival. Just before travelling, check that any later changes have been incorporated. Keep older versions separately so you don't present an outdated booking by mistake. After check-in, clarify any remaining questions about charges or services directly with the hotel and save the final confirmation.
